Davis Polk is currently seeking a bright energetic person to work in the Beijing office as a Receptionist/Admin Assistant. Successful candidates possess a strong interest in learning and participating in ways beyond their immediate job description.
Responsibilities:
Greet visitors both on the phone and in person with business courtesy
Maintain good house keeping standards in common office areas
Maintain, monitor and control distribution of office supplies & stationary
Maintain internal and external phone lists and contact databases
Perform mailroom service
Maintain conference room booking calendars
Maintain Dial-In Conference booking records
Perform Security Function
Provide basic secretarial supports, including answer and screen calls, handle client requests/questions, fax documents and follow up, make travel/meeting/conference arrangements
Assist in maintenance of library
Assist office administrator as required
Assist accountant as required
Requirements:
Previous work experience in a professional environment.
Spoken and written fluency in English and Chinese.
Must have intermediate skills in Microsoft Word, Outlook, Excel, PowerPoint and Internet research.
Strong organizational skills required and attention to detail.
Excellent communication skills required to interact with attorneys, staff, clients and other visitors.
Ability to work effectively in a fast-paced and high pressured environment.
Must be effective in understanding and resolving difficult situations.
