JOB DESCRIPTION

Job Title: * Customer Service Co-ordinator
Reports to: * Office Manager

Department * Customer Service
Location: * Shenzhen

Job Purpose

As a Customer Service Coordinator you are need to implement and administer for all issues relating to administration, operations and document management for the assigned clients(s) in accordance with agreed client specific SOP's and KPI's. Your target is to ensure that we provide excellent service to all of our internal/external customers. At the same time as ensuring our customers requirements are met you will be responsible for maximising the GP for each shipment you manage.

Key Accountabilities

Your main areas of responsibility are listed below, and your duties will include the following:
 Control and monitor the prospect of the shipment.
 Contact with carrier, confirm shipment details and information
 Prepare, verify and print the shipping document
 Familiar with the Tradelink, TTR and Customs declaration system, verify and submit valid license to the carrier for shipper
 Co-operate and communicate with other carrier for booking
 Familiar with Ligentia system, update system continuously
 Prepare stuffing plan for CFS shipment
 Monitor the stuffing status in the warehouse, keep close contact with it and report to your direct report in case.
 Contact with Ligentia UK office, get Shipment Authorization for cargo as per client request
 Prepare and issue financial documents (invoices, credit note) after approved by your direct report or Manager.
 Booking with carrier and obtain transport set for CY shipment
 Ensure data - quality is up to the standard that setup by the department
 Maintain good relationships with internal colleagues (HK and SZH team); solving and answer their enquiries.

 Constantly to check with carriers rates and co-ordinate with Commerical and Business Development for the updated market situation
 Filing hardcopy of every shipment for future reference
 Review, updating and organize information / files in the computer directory / Intranet / Internet
 Distribute and manage work effectively within the team
 Undertake special projects as and when required for development of the business
 Any other duties as assigned by Manager
 To attend and fulfil training to the required level of competences and to keep the Manager informed of your whereabouts

Knowledge, Skills and Experience Required

 University gradated or above
 Basic Shipping and Logistics knowledge with relevant experience in freight forwarding
 Solid experience and knowledge of ocean and air freight
 Ability to report for work and perform job responsibilities in timely manner in order to meet schedule deadlines
 Ability to use initiative, be independent and willing to work under pressure and extended ours when required
 Good command of both written and spoken English and Cantonese
 Good PC knowledge, including MS Word, Excel and Outlook system
 Excellent, confident telephone manner, customer service and communication skills
 Creativeness

 Proactive attitude
 Commercial awareness
 Flexibility
 Team spirit
